Have you ever tried to plan a party, not knowing exactly how many people are coming and how much food to buy? That was me this month. Someone got the crazy idea to do a Scout BBQ Fundraiser and then no one showed up to the planning meeting except us and one other family. So we did all the planning and prep. Not something I want to repeat anytime soon. I really had no idea how much food to buy and we had way too much. Thought I'd write down what we used in case I'm ever asked to do this again, or in case anyone else had to do one.
Estimate attendance: 110
Charged $5 an individual, or $25 a family pre-orders (Had to
use a tithing envelope and submit before event) $7 an individual or $30 a
family if paid at door
We also had a dessert auction. Scouts signed up to donate
desserts. Worked well to have a signup
with varieties (cake, pies, cookies, brownies etc)
Food: (what we used)
100 hamburgers
56 hot dogs
56 brats
1 ½ #10 cans beans
3-9 x 12 pans jello
40 oz. ketchup plus 12 oz.
1-14 oz. mustard
6 oz. spicy brown mustard
2# tomatoes
2 heads lettuce
2 large onions
1-10# potato salad
1 2-liter soda
5 gallons lemonade
3 watermelon
4 cups sauerkraut
Enough buns for meat
3-9x13 pan fries
Biggest issue was the weather. It poured and although we had
our grills under the front ease of the Church, it still put the flames out.
Also didn’t get the grills until 10 minutes before event started. Need to get
grills sooner!!
